Where can i streamline tool library tracking on a budget?

I’ve been trying to organize a neighborhood tool library on a shoestring budget, and honestly I’m hitting a wall trying to track everything. Some folks just note what they borrow on a paper sheet, others text me, and a few have started adding items to a shared spreadsheet I set up. It’s a total mess already. I’m curious if anyone else has dealt with this scatter of systems and how you brought it together without it feeling too rigid or corporate.

One low friction plan is a single sheet that stays near the tools. Record item name borrower date borrowed due date and a quick condition note. People can add as they borrow.

A tiny upgrade that stays casual could help. Color code items and use simple tags. A cheap dry erase board and a quick photo posted in a chat can keep the tool library moving.
