What open source project management tools actually work for a nontech team?

So I’ve been trying to switch my small team over to using only open source tools for our workflow, and honestly, I’m hitting a wall with project management. We tried a few of the usual suspects, but the collaboration features just feel clunky compared to what we were using. I keep wondering if we’re missing a good option because the landscape is so fragmented. Has anyone else made a full switch and found something that actually sticks for a team that’s not super technical?

I hear you We switched to open source PM tools and the first thing I learned is you probably need to tailor your workflows not just swap the app We ended up with OpenProject for roadmaps and Wekan for board style work and I set up simple templates for sprints It felt clunky at first but it started to click when we documented the process in a shared wiki

From a mental model angle project management is about convergence points who decides what is visible and how risk is surfaced With open source tools distribution of control creates friction unless you define a minimal schema and enforce it

I kept thinking the problem was the collaboration layer not the data model With open source options you can have nice boards but you still bump on notifications and mentions If you want something that behaves like a proprietary tool you might be chasing the wrong thing in the open source world

Open source isnt a magic wand for collaboration especially for non technical teams Youll still need doc culture not just a tool swap The fragmentation you fear is real but it can be managed by choosing a narrow set of plugins and sticking with them

Maybe the frame should be what counts as a successful workflow in an open source setup Is it visibility adaptability or minimal maintenance If you drop the idea of a single PM app you can stitch together open source pieces that cover planning messaging and documentation

We tried open source but ended up mixing in a low code dashboard to visualize tasks its not perfect but the openness helps The question is really about friction points in adoption not just tools
