Seeking cost-effective GPS telematics for a 12-van fleet from paper logs
#1
I've recently taken over fleet management for a small delivery company that operates twelve vans. The previous system was entirely paper-based, with drivers manually logging miles and maintenance, and it's a complete mess. I need to implement a digital tracking system to reduce fuel costs, schedule preventative maintenance, and improve route efficiency. I'm looking at GPS telematics options, but the choices are overwhelming. For other small fleet managers, what software or combination of tools have you found most cost-effective and user-friendly? I have a limited budget, but I need reliable data on vehicle health and driver behavior to make informed decisions. Any recommendations or lessons learned would be incredibly valuable.

You're making a smart move. With 12 vans on a tight budget start with a two layer approach a solid maintenance and asset tracker plus a lighter telematics feed for real time location fuel usage and driver behavior. Consider Fleetio for maintenance and a budget friendly GPS option to cover tracking. Run a four to six week pilot and define KPIs like fuel per mile maintenance cost per mile and on time delivery rate and build dashboards for quick decisions. Train drivers so data helps not punishes.

Solid plan but set a clear ROI window and a fallback plan if the savings dont show up.

From my experience run a small data pilot and invite feedback from drivers and dispatch to see where the gaps are and what to improve.

I can sketch a starter setup with a basic 12 van config if you want.
