I've recently been promoted to manage a small fleet of twelve service vans for a local HVAC company, and I'm inheriting a system that's essentially just a spreadsheet for tracking oil changes and a pile of paper receipts for fuel. I need to implement a basic but effective fleet management system to control costs, schedule preventative maintenance, and monitor vehicle location and usage, but I'm overwhelmed by the options from simple apps to full telematics platforms. For managers of similarly sized fleets, what was your entry point into formalizing your processes? Did you start with a dedicated software, or build out a more robust spreadsheet system first? What key metrics and controls gave you the biggest immediate return on investment in terms of reducing downtime and unexpected repair costs, and how did you get driver buy-in for any new tracking or reporting procedures?

Great topic. Start small with an asset register and a PM schedule. In practice, I’d build a one-page sheet with columns: Vehicle ID, VIN, Make/Model, Year, Current Mileage, Last PM date, PM due date, next service due, and status. Tie each vehicle to a maintenance calendar (monthly view) and use conditional formatting to flag due items. The idea is to get a quick snapshot and prevent things from slipping through the cracks.
