I'm on the board of our neighborhood association and we're planning our annual summer street fair, but attendance has been declining and it feels like the same small group of people organizing and attending every year. We want to make it more inclusive and engaging for younger families and newer residents who haven't connected yet. For others who have successfully revitalized a recurring community event, what strategies did you use to gather broader input on desired activities, and how did you effectively spread the word and encourage participation beyond the usual social media posts and flyers?
Great goal. Start with listening sessions that aren’t just meetings—put out snacks, kid-friendly activities, and sessions in different corners of the neighborhood. A few 60–90 minute gatherings where folks can doodle ideas, then you publish a simple feedback summary. Emphasize low-cost, inclusive options: rides, childcare, translation, and a few 'micro-events' like a block party, pop-up farmer's market, or a kid-friendly art station.
Create a small, diverse planning group that reflects the neighborhood—teachers, parents, seniors, renters, local business folks. Use an 'open space' or 'world cafe' format to capture ideas. Let residents run a 30-minute brainstorm at a market or school night, then synthesize into a few concrete themes. The key is making it safe to share, with clear next steps and visible progress.
Promote beyond social media. Put flyers in libraries, coffee shops, daycare centers; partner with the school to send a note home; do a short slide during community meetings. Do a 'preview' at the park on a weekend—mini performances, demo booths, and sign-up to volunteer. Run a small 'taste' booth with free samples from local bakeries to draw people in.
Make kids and families central: activities that don’t require big budgets, e.g., scavenger hunts, photo booth with a neighborhood map, craft stations using recycled materials. Schedule at a family-friendly time, and ensure ADA accessibility. Provide quiet spaces and a free transit plan if possible.
Measurement and iteration: choose 3–4 metrics: attendance, number of first-time attendees, volunteer signups, and satisfaction. After the event, do a 20-minute debrief with a few folks who attended. Use the feedback to set a 6–week outreach plan. Also consider a 'neighborhood ambassador' program—neighbors commit to bring a friend or family member to the next fair.
